L’Institut national du sport du Québec (INS Québec) is looking for a Secretary – Medical clinic/Sport medicine service

For medical secretaries or graduates of the D.E.P. in medical secretarial studies… this is a great opportunity to work in a unique environment, providing support to high-level athletes. INS Québec and its network support over 550 high-level athletes – mainly members of Canadian teams – nearly 2,000 next-generation athletes and some 900 coaches.

Reporting to the Manager, Sports Medicine Department, the Secretary, Medical Clinic/Sports Medicine Service is responsible for technical, operational and clerical tasks related to the overall smooth running of the Sports Medicine Service at INS Québec. He/she supports the Medical Clinic Coordinator and the professionals in carrying out activities for the INS Québec Medical Clinic. He/she updates documents and enters data, while providing top-notch, personalized customer service.

This position features great responsibilities, including:

  • Manage the schedules of all clinic professionals and ensure follow-up and associated communications;
  • Schedule and confirm appointments for athletes, training groups and coaches with INS Québec sports medicine specialists;
  • Ensure follow-up of athlete files with the various sports medicine specialists;
  • Maintain a list of follow-up medical consultations and a directory of partners and service providers;
  • Digitize confidential files and documents, and electronic administrative files;
  • Ensure updates of personal information provided by patients, electronic administrative documents;
  • Assist clinicians in completing forms for insurance payments and other claims;
  • In support of the Medical Clinic Coordinator, participate in the overall process of planning and coordinating assessment camps and other special activities, and produce schedules and documentation as required;
  • Assist sports medicine staff with sports medicine activities;
  • Assist the clinical management team with billing tasks, statistics follow-up and other clerical support tasks as required.
  • Welcome and orient patients at the INS Québec medical clinic;
  • Train new users on the various software packages used;
  • In collaboration with the medical coordinator, follow up on all issues related to scheduling and medical records software with the various suppliers;
  • Participate in the implementation of sector-specific software and/or programs;
  • In collaboration with the medical clinic Coordinator, enter material orders. Manage and distribute the clinic’s office equipment and service supplies;
  • In support of the Medical Coordinator, inventory clinical and stationery materials;
  • Maintain and restock the medical-sports equipment sales counter.

Some requirements/skills you will use in your work:

  • Diploma of Vocational Studies in medical secretarial work (DEP) or Diploma of Collegial Studies (DEC) in office administration, combined with related experience i.e. as a medical secretary;
  • Very good command of various office automation tools (Microsoft Office 365 Suite);
  • Ease with learning new computer software ;
  • Very good command of French and English, both spoken and written ;
  • Excellent sense of teamwork and collaboration;
  • Excellent customer service skills, at ease with the public and customer experience oriented;
  • Excellent sense of ethics and confidentiality;
  • Excellent communication and interpersonal skills (listening, empathy, interpersonal skills, diplomacy, etc.);
  • Excellent self-control in an agile and dynamic work environment;
  • Excellent ability to manage priorities and efficiency;
  • Demonstrate autonomy and proactivity;
  • Very good ability to perform a variety of tasks;
  • Meticulousness and rigor

We offer great working conditions such as:

  • The work schedule is 35 hours a week, full-time, during the day, with face-to-face work. The salary range is between $41,473 and $56,105, depending on experience and training;
  • A group RRSP program with an employer contribution of up to 5% of salary;
  • A complete group insurance program with options, after three months’ service;
  • Three weeks’ annual vacation;
  • 10 days sick leave per year;
  • Free on-site indoor parking (taxable benefit). Workplace is easily accessible via public transit;
